When meeting notes need to become assigned work

Turn meeting action items into owned tasks in the team's existing system, without duplicates and without inventing owners or deadlines.

The meeting ends with six actions. Your agent produces a crisp summary with six bullets, and the team opens its work board the next morning and finds none of them. A second agent reads the summary, creates tickets, and turns one tentative suggestion into an assigned deadline. The words survived and the agreement did not.

This gap predates agents. An Atlassian Community question asks how to convert Confluence meeting tasks into Jira work because the team gets its assignments from its Scrum board.

Start with the destination people use#

Pick a meeting where the next action is usually clear, such as an implementation review or a weekly operations meeting. Have the agent produce a proposed change list for the team's existing task system. Each row needs the intended action, proposed owner, agreed timing, source passage, and any existing task it updates.

Take a discussion about a customer import:

  • "Maria will check whether Friday is possible" creates a feasibility check, not a promise to finish the import on Friday.
  • "We should ask Legal" has no accepted owner.
  • "Keep working on the migration" probably updates existing work.

Put these distinctions in the extraction instructions before enabling ticket creation.

Meeting statement Proposed treatment What the agent needs next
"I will send the sample tomorrow" Create an action Speaker identity and local date
"Could we migrate Friday?" Capture a question Decision and owner
"The existing ticket still covers this" Link existing work Stable ticket identifier
"We no longer need that export" Propose cancellation Confirmation of the affected task

Make acceptance part of the handoff#

For the first few meetings, have the meeting owner review the change list as a batch and resolve missing owners together, instead of sending separate questions to everyone mentioned. A person's name in a discussion is not consent to own work, and a team name is not a usable assignee unless that team has an intake queue.

Once accepted, create or update each destination task and capture its identifier. Return a concise list of links, including the rows that remain questions. A useful completion message reads "Four tasks created, one existing task updated, one question remains with the meeting owner." "All action items captured" hides what a manager needs.

Use the meeting identity plus the action's source location to recognize a second processing attempt. Similar wording is weak evidence of a duplicate, since two customers can need the same import. Before creating anything, search the destination for the source reference. If a ticket was created and the final response failed, reconcile that ticket instead of replaying the meeting.

Recover without rewriting the agreement#

The hard failure is partial completion. Suppose three tickets exist, two failed because their owners cannot be assigned, and one proposal was rejected. Keep those outcomes separate: correct the owner mapping, retry only the two failed rows, and keep the rejected proposal rejected when the same notes are processed again.

Meeting notes also change. If someone corrects a date afterward, show the difference against the existing ticket and do not silently move a deadline because a transcription fix changed a sentence. Send any contradiction to the owner who can settle the agreement.

Test the workflow with a canceled action, two people sharing a first name, an already existing ticket, and a meeting crossing midnight in different time zones. Success means the right work appears once in the right team's queue with enough context to start.

Save the team's decisions about what counts as work#

The reusable parts are the classification rule, the owner mapping, and the handoff checklist. Keep customer details in the source system. Review the method after a real correction, then test the next version against the corrected example.

With your existing agent, Deixic supplies company context and applies policy and approval to calls routed through it. Use approval decisions for task changes that need review and action history to inspect which writes finished. The team keeps its own task system and acceptance rules, and next week's meeting starts with owned work.
