Check which company a contact represents before outreach

How do you stop an agent from using the wrong account history when a contact has several company associations?

Deixic

Your agent drafts a renewal email to a consultant who works with two customers. The recipient's name is right. The company name and contract details belong to the other customer. The draft reads naturally because both associations exist in the CRM, and the agent picked the wrong relationship.

A HubSpot Community discussion describes a related problem: a contact qualifies through one associated company while email personalization uses another. This is a business identity problem, and fluent writing does not solve it.

Treat the relationship as part of the request#

"Write to Alex" is incomplete when Alex represents multiple accounts. Start with the business event: the renewal, support case, onboarding project, or invoice. Resolve the account attached to that event, then find the contact's role for that account. The relevant fact is "Alex is procurement contact for this contract," and Alex's email address alone says too little.

Take a fractional finance director who works with a parent company and a recently acquired subsidiary. Their email domain names the advisory firm, the invoice belongs to the subsidiary, and the contract requires notices to the subsidiary's legal contact.

Give the agent stable account and transaction identifiers, so a renamed company does not look like a new customer.

Establish a short identity check#

Before preparing outreach, require the agent to answer four questions:

Question Evidence to use If it is unclear
Which transaction triggered this message? Deal, ticket, or invoice link Stop personalization and locate it
Which company owns that transaction? Explicit business association Present candidate accounts
What is this person's role here? Current account-specific contact role Ask the account owner
Is this address appropriate for this message? Approved contact details and purpose Save an internal draft

A positive answer to one question does not answer the others. Being the CRM's primary company does not prove ownership of every transaction, and being copied on a prior email does not make someone an authorized recipient for the next attachment.

Show the resolved account and contact role above the draft during review. Otherwise reviewers focus on tone because the account selection is invisible.

Repair the association without guessing a merger#

If the agent finds conflicting relationships, have it propose a correction with the affected records and evidence. Do not merge companies automatically on a shared domain or similar name. Parent and subsidiary records are often separate on purpose, for billing, permissions, territory ownership, or reporting.

An address change does not prove a person changed employers: a customer can use an alias, a holding-company domain, or a temporary project address. Keep the old evidence while an account owner establishes the new relationship.

After an approved correction, rerun the preparation step from the original business event. Replacing the company name in the existing draft is not enough, since the history, attachments, amount, and next action all come from the wrong account.

If an incorrect message already went out, route the case to the account owner with the exact recipients and content. The agent should not send an improvised explanation or contact everyone associated with either company.

Choose useful tests over a clean demo#

Test with a shared consultant, a renamed subsidiary, an inactive contact, two companies with similar trading names, and one account where the obvious domain match is wrong. Verify that the agent identifies the correct relationship or asks a narrow question with the candidate records attached.

Track corrections to account selection separately from writing edits. Otherwise a smoother draft hides a decline in who receives which information.

For batch outreach, resolve identity for each transaction before generating the batch. A successful match for the first row does not establish the company for every other row. Review a sample containing the deliberately ambiguous relationships, and hold unresolved rows back until their account owner decides. One ambiguous consultant does not need to delay unrelated drafts.

Keep your preferred agent and give it Deixic company context and connected tools. For calls routed through Deixic, approval review is where you inspect the actual proposed action. Keep the CRM's account relationships authoritative, and save reviewed examples of ambiguous identities as reusable knowledge.
