What makes an agent’s project status believable?

Report project status when task completion and customer readiness disagree: acceptance conditions, evidence age, and the next decision with its owner.

Deixic

The agent marks the launch green because every engineering ticket is closed. The customer cannot use the service because training is unscheduled and a required import has not been accepted. The summary matches the board and is wrong about the business outcome.

A question about weekly client meetings in Jira asks how to capture project actions, risks, and issues. Completed tasks are only part of a project's condition, and the agent needs a definition of readiness that fits the audience's decision.

Begin with the milestone's acceptance conditions#

For each milestone, state what must be true for the intended recipient. An internal engineering milestone requires tested configuration. A customer launch also requires accepted data, trained administrators, and a confirmed support route. Do not use one green label for both without explaining the difference.

In an example workflow, a platform leader prepares a weekly rollout update across several customer teams. Have the agent assemble each milestone's acceptance conditions and evidence. Show a condition with no current evidence as unverified, and do not infer completion from nearby activity.

A closed ticket is evidence about the ticket's workflow state, and it supports readiness only if the team's process makes that state meaningful for the condition. Otherwise, find the acceptance result, customer confirmation, or other evidence the business uses. The project owner decides which system is authoritative.

Distinguish three kinds of progress#

Progress type Example What it establishes
Work performed Import script completed A deliverable exists
Result verified Sample records pass agreed checks A technical condition is met
Outcome accepted Customer approves the imported dataset The milestone can advance

The agent keeps those differences in its prose. "Import script ready; customer acceptance pending" is precise and useful, while "Import complete" makes the next person discover the missing condition in another conversation.

Include the next decision and its owner. A status report is actionable when it tells a leader the customer must approve a sample by Thursday to keep the launch date; a bare "data dependency" makes the reader reconstruct the consequence.

Make evidence age visible#

An old readiness check stops applying after a material change. A new customer dataset is not covered by the previous validation, and a product configuration change means some checks need repeating.

Set review intervals by the type of work. A signed acceptance stays valid for a completed phase, and a live integration check needs refreshing before launch. One freshness rule for every fact creates unnecessary work or leaves volatile facts unchecked.

When source systems disagree, report the disagreement with the affected decision: the project plan shows Friday while the customer's latest approved note shows Monday. Do not pick the newest timestamp, because a casual comment does not amend a committed date. Route that question to the milestone owner.

Recover from an incorrect status#

Correct the published status with the missing condition and its impact, and keep the correction next to the original update so readers stop using the outdated summary. Have the responsible owner review decisions already made from the incorrect report, such as a scheduled launch announcement.

Then fix the report method. If the agent equated closed tasks with acceptance, update the readiness checklist and save the failed example as a test. "Be more accurate" does not teach the missing business condition.

Test a milestone with all tasks closed but acceptance missing, one with a known blocker already addressed, and one with stale evidence after a change. Check whether the report helps the project owner decide the next step, which means fewer status reconstruction meetings.

Agree on the audience before composing the update. An executive deciding whether to announce a launch needs customer readiness and remaining decisions, and a technical lead coordinating tomorrow's work needs the specific failed check and owner. Both views come from the same facts.

For the agent your team already uses, Deixic supplies reviewed company knowledge and connected sources. Use activity evidence to inspect relevant actions, and keep each business system authoritative for its records.
